Shopify Product Data Checklist
Use this checklist on five representative products before debugging a feed, hiring an agency, or rewriting an entire catalog. It focuses on fields that merchants can verify directly in Shopify.
What to remember
Audit a representative sample before changing the whole catalog.
Keep identifiers accurate; an empty GTIN is safer than an invented one.
Treat variants, images, and policy context as product data, not decoration.
Step 1
Start with a useful sample
A five-product sample reveals repeated catalog patterns quickly. Choose products that represent how the store actually sells, not only the cleanest listings.
Choose five representative products
Include a best seller, a product with variants, a recently added product, a high-margin product, and one listing that has caused feed or support problems.
Action: Write the five product handles in a short audit sheet before making edits.
Separate store-wide and product-specific gaps
A missing policy link can be a template problem, while a missing barcode is usually a variant-level data problem. The owner and fix are different.
Action: Label each issue as template, product, or variant so the cleanup work is assignable.
Step 2
Check the catalog fields
Shopify can publish a product with minimal information, but sales channels and buyers often need a more complete record.
Title and description
The title should identify the product plainly. The description should cover what it is, who it is for, important materials or specifications, fit or compatibility, and the questions a buyer needs answered.
Action: Remove vague filler and add the missing facts a shopper would need to compare the product.
Category, product type, and vendor
Use the most accurate Shopify product category, a consistent custom product type, and the real vendor or brand. These are separate fields and should not contradict each other.
Action: Normalize spelling and naming across the five-product sample.
SKU, barcode, brand, and MPN
Use unique internal SKUs for operations. Put only a legitimate manufacturer-assigned UPC, EAN, ISBN, or other GTIN in Shopify's barcode field. Do not use an internal SKU as a GTIN.
Action: Verify identifiers against packaging, the manufacturer, or an authoritative product record.
Variants and availability
Each sellable variant should have accurate options, price, inventory or availability, SKU, and a variant-specific GTIN when one is assigned by the manufacturer.
Action: Open every variant in the sample and check it as a separate sellable item.
Step 3
Check the buyer-facing evidence
Catalog fields work best when the public product page confirms the same facts clearly.
Images and alt text
Use clear product media that shows the real item. Alt text should briefly describe the image for people using assistive technology; it should not be a list of keywords.
Action: Add concise, image-specific alt text to important product media.
Shipping, returns, and support clarity
A buyer should be able to locate shipping, return, warranty, sizing, and support information without guessing. Keep product-specific exceptions close to the product.
Action: Test each policy link and note any product-specific exception that is currently hidden.
Search engine listing
Review the page title, meta description, and URL handle. They should describe the product accurately and avoid claims or promotions that the page does not support.
Action: Preview the Shopify search engine listing and fix truncation, duplication, or ambiguity.
Frequently asked questions
Does every Shopify product need every field?
No. Shopify can publish products with relatively little data, and requirements vary by product and sales channel. The checklist helps you find fields that are missing, inconsistent, or important for the destination you use.
Should a custom product have a made-up barcode?
No. Do not invent a GTIN. If the manufacturer did not assign one, follow the destination's rules for products without a GTIN and provide other accurate identifiers when applicable.
Will completing the checklist guarantee Google or AI visibility?
No. It improves the quality and consistency of the product record, but it cannot guarantee approval, placement, rankings, AI mentions, traffic, or revenue.
